Eligibility:

One (1) Temporary Full-Time (1.0 FTE, 35 hrs/week) Plant and Sites Secretary

Commencing as soon as possible and ending April 5, 2013 or earlier if the incumbent returns.

LOCATION: BWDSB Education Centre - Chesley

SALARY:  $22.01 to $22.70 per hour (Sept. 1/11)

REPORTS TO:  Mananger Plant Services Administration/Plant Services Assistant

DUTIES AND RESPONSIBILITIES:
To perform departmental duties related to the operation and maintenance of school buildings and sites and provide general office and secretarial support services including, but not limited to, the following:
  • performing daily office duties for the department
  • filling of custodial vacancies
  • tracking employee absences, illnesses, vacation and expenses
  • performing computer input and retrieval through established programs
  • cost accounting duties, invoice reconciliation and tracking
  • maintain a safe and co-operative environment for staff, students and building occupants
  • provide reception and switchboard duties on a part time basis
QUALIFICATIONS REQUIRED:
  • a Community College diploma in Business Administration or a related discipline or equivalent certification or experience
  • exceptional interpersonal and communication skills, both verbal and written
  • ability to work effectively in a dynamic work environment with multiple and varied tasks
  • computer skills including Microsoft Office
ASSETS:
  • 3-5 years experience in an office environment
  • experience with accounting and purchasing software
  • knowledge of plant operations and custodial practices
  • knowledge of tendering procedures, purchasing and accounting functions
  • demonstrated proficiency in BAS, POM and MicroSoft Office applications
  • experience with Smart Find and HR procedures
  • knowledge of Collective Agreements and employee benefits
  • previous experience with a switchboard

One (1) Temporary Full-time (1.0 FTE, 35 hours/week) Accounting Clerk (Finance Department)

LOCATION:       Bluewater Education Centre – Chesley

Beginning as soon as possible and ending June 29th, 2012 or earlier if the incumbent returns or circumstance change.

SALARY:         $24.11 - $24.87 per hour (Sept 1/11)

REPORTS TO:     Mindy Guilherme, Acting Accounting Supervisor

DUTIES AND RESPONSIBILITIES MAY INCLUDE:
  • The accurate and timely payments of invoices in accordance with Board Policy and Procedures and tender guidelines, including matching receiving reports from schools to Purchase Orders for verification.
  • Reconciliation of Vendor accounts to statements.
  • Provide assistance to school office support staff on BAS reports/procedures.
  • Process and data entry of a high volume of complex invoices ensuring the accuracy and appropriateness of the supporting documentation, authorizations, account GL coding, taxes charged and tax coding for rebate eligibility.
  • Collection, track and reconciling of bus payments for Schools.
  • Maintain Department filing systems for Vendors and Records.
  • Coordinate year end files move to archives
  • Reconcile and process Petty Cash Summaries .
  • Preparation of weekly cheque runs and EFT payment processing.
  • Maintain numeric control logs of Batches and Pay Possibilities
  • Order departmental supplies requisitioned.
  • Assist with Account Reconciliations as Required
QUALIFICATIONS REQUIRED:        
  • 2 year Community College diploma in Accounting/Business Administration or equivalent certification/experience
  • Minimum of two years accounting experience
  • Preference will be given to accounting experience in a mid to large multifaceted computerized corporate environment
  • Must have a high aptitude in computer skills (Excel, Accounting software, Word)

  • Effective communication skills
  • Strong organizational skills
  • Highly developed problem solving skills
